See your profit and loss and keep your books
Your profit and loss and cash each month, the same numbers in QuickBooks or Xero as one journal a day, and months you close so they stop changing. It’s information for you and your accountant, not tax or accounting advice.
Money, Books shows what each month did for the business: sales less refunds, what you earned, Allpage’s and Stripe’s fees, disputes, and what’s left. Cash shows your Stripe balance at the start and end of the month, what came in and went out, and what was paid out to your bank, plus what you took in person. Sales tax you collected is shown on its own: it’s the state’s money, not income.
Money paid ahead counts when you earn it. A membership counts over the month it covers, a class pack (or a package of packs) as each visit is used, and a booked class or series as each session runs. Gift cards and store credit count when they’re spent. Until then it’s under “Paid ahead, not earned yet”, and what you still owe customers in visits, gift cards and store credit is shown on its own. When a pack expires with visits unused, what’s left counts as “Unused credit that expired”.
Payments you take in person count when you mark them paid. Stripe’s own fees on each card payment come in from Stripe once it works them out.
Close a month once it’s over and you’re happy with it. Its numbers stop changing: anything dated in that month afterwards, like a late refund, goes into the next open month with a note saying where it came from. Closing a month closes every month before it too, and you can’t reopen it.
Connect QuickBooks or Xero and your books keep themselves: once a day, the day before goes in as one journal with each category on its own account. Allpage adds those accounts the first time (all named with “Allpage”, like Allpage sales, Stripe fees (Allpage) and Paid ahead and gift cards (Allpage)) and never changes anything else in your books. When a payout lands in your bank feed, match it to Stripe payouts in transit. A day already in your books never changes, and a closed month never gets new journals.
Your books start the month you connect. To put earlier months in, change when your books start; days already there stay as they are.
Not using QuickBooks or Xero, or the connection stopped? Download the month as a spreadsheet for your accountant. It has the same journal lines the books would get. If QuickBooks or Xero stops letting Allpage in, Books says so under Your books, and Reconnect picks up where the sync left off.
These numbers cover money that went through Allpage: sales, refunds and payments you marked paid. Other income and expenses stay in your own books.
These are your numbers from sales and payouts in Allpage, to help you and your accountant keep your books. They aren’t tax or accounting advice, and they leave out money that didn’t go through Allpage and Stripe’s card processing fees. Have your accountant review your books before you file.
