Move, call off or change one session

Move one session, call it off, change its size or room, or put a substitute on it, without touching the rest of the series. The people booked come along and hear about it once you approve.

Moving a session takes everyone booked with it. Their places, check-ins and payments stay as they are, and each of them gets one email or text with the new time once you approve. Before you approve, you see how many people will hear about it. If the room is taken at the new time, nothing moves and we tell you what’s in the way.

Calling off a session gives people back what they paid for it. Drop-ins get their whole payment back, series buyers get that one session’s share, and pack credits go back on the pack. The rest of a series goes ahead. If you’d rather not refund, give everyone a make-up credit for another session of the same offering instead. Either way, everyone booked or waiting is told, and calling it off twice never refunds twice.

You can make a session bigger or smaller, but never smaller than the number of people already booked. Extra seats go to the waitlist first.

Put a substitute on a session when someone can’t make it. They show on that session’s roster, and the rest of the series keeps its usual teacher. Changing a room, the size or the staff doesn’t message anyone. When a teacher finds their own substitute, you get a notice saying who’s covering.

To change a repeating schedule from a date on (“Wednesdays at 7 from November”), everything before that date stays as it is. Booked sessions after it move to the new day and time, or are called off and refunded if there’s no new date that week. Sessions nobody booked are simply replaced.

For agents

offerings.changeSession (tier 2) takes sessionId and any of date and startMinute (local, in the session’s location), durationMinutes, locationId, resources (rooms it holds instead), capacity, staff (replaces everyone) and note. A new time or place tells everyone booked or waiting; its preview’s recipients.count says how many. It refuses on a room clash, a time already past, or a capacity under what’s taken, applying nothing. offerings.setCapacity takes sessionId and capacity. offerings.assignStaff takes sessionId, resourceId, role (default substitute) and replaces. offerings.callOffSession (tier 3) takes sessionId, give (refund, the default, or make_up) and note; it answers told, refundMinor, credits and makeUps, and a second call changes nothing. offerings.editPattern takes patternId, from (a local date, today or later) and the new pattern, and answers moved, calledOff, added and told. Webhooks: offering.session_changed and offering.session_called_off.
