Run your schedule

One calendar for everything you run: classes, courses, appointments and events. Each session has its own page to check people in, see what covers them and collect what’s owed.

The calendar opens on the week with your next session, using the full width of the screen, or on the day on a phone. It shows how full each session is. Full sessions and ones with a waitlist say so, and called-off ones are crossed out. A day or week with nothing on says when your next session is, with a button to go there. Filter by offering, staff, room or location.

Open a session to get its own page. At the top: how many are booked, what’s still to collect, whose forms are still due and the check-in code. From an hour before it starts, tap each person to check them in, and tap again to undo. Who’s coming shows what covers each person (Membership, Pack, 9 left, Owes $25 or Paid), whether their waiver is signed, and each name opens their page. Once it’s started, mark anyone who didn’t come No-show or Excused. Marking a card-paid booking a no-show charges your no-show fee, and Undo gives it back. To collect lists only this session’s money, each with Mark paid. The waitlist shows first in line first. Book someone in there too, paid at the session or with a pay link, or add them to the waitlist when it’s full.

Each session has a 6-digit check-in code. Show it at the door and people booked check themselves in with it. Walk-ins are booked and checked in at once with Check in a walk-in.

Change one session without touching the rest of its series: move it (the people booked hear about the new time), change how many it holds, put someone on to cover it, or call it off. Calling it off shows what happens first: who gets their money or credit back and who’s told.

New offering asks what you’re adding. The kinds your business runs come first, like a weekly class, a course, a workshop and private sessions for a yoga studio; the rest (rentals, camps, retreats, open hours, day care, exhibitions, tables) are under Something else. It opens the editor ready for that kind. Or press Set it up for me and describe it to the assistant. Review shows every date, price and problem before anything is saved, and saving never messages anyone.

Offerings lists what you run with its schedule and prices, to change or archive, and your standing bookings. Move up and Move down set the order, and your booking page follows it. Below the list, Headings on your booking page groups offerings that share a tag under one heading, with a preview of what customers see. Rooms is where you add rooms and equipment and block them off.

Teachers and guests see the same calendar with only their own sessions, and only what their role lets them do: check people in, mark who came, move or call off their session, or put a substitute on it. Their changes come to you to approve unless their role is set to Just do it. Rosters show them names, who came and whether forms are in; emails and phone numbers only if their role sees private details.

For agents

The screen’s reads and changes are the same operations: offerings.sessions and offerings.roster for the calendar and a session (each roster line has the customerId its name opens), offerings.sessionPay for how a session’s places are paid and the charges on their sales (commerce.salesOwed), offerings.markAttendance, offerings.checkIn, offerings.enroll, offerings.changeSession, offerings.setCapacity, offerings.assignStaff and offerings.callOffSession for a session, offerings.save and offerings.archive for an offering, offerings.reorder for the order of offerings, offerings.saveBookingPage for the booking page’s headings, and resources.save, resources.block and resources.unblock for rooms. offerings.preview takes the same input as offerings.save and answers ok, title, lines, changes and every problem as issues (each with its field) without saving anything. offerings.standing lists standing bookings (offeringId, status active or ended) with who, when and who runs each.
